Privacy information

Almost all of it starts with an email to the creamery — a shop or a caterer asking what we can supply, or somebody planning an event who wants ice cream scooped on the day. From that message onwards we are holding something about you, so here is the plain account of it.

What reaches us

Chiefly an email, and what an email brings with it: a trading name, the name of whoever is writing, the address the message came from, whichever delivery point or venue you tell us to aim for, and the substance of the ask — how much, which day, which flavours, what has to stay out of the mix. Once an enquiry firms up into an order, the order sheet, the delivery note and the billing details join the rest.

What we do with it

We hold it in order to answer you, to churn and deliver what was ordered, to get the allergen wording right and to raise an invoice against the job. An ice cream maker also carries traceability duties, so what went into a batch, when it was churned and which customers it reached are all written down and stay written down — that way a batch can be followed forward if there is ever cause to. Behind all of that sit the contract we have with a customer, the duties food law and company law put on the business, and our own straightforward interest in giving a proper reply to somebody who approaches the creamery.

Allergen notes

When a customer tells us that something has to stay out of a batch, that note does one job only — getting the specification and the label right — and it is filed against the order it belongs to.

How long it stays in the office

Not every enquiry turns into an order, and when one goes quiet the correspondence behind it is cleared out as soon as the conversation is plainly finished. Where ice cream actually left the creamery there is paperwork we have to sit on for a while: invoices and the books they feed into stay with us for as long as tax rules require, and the traceability sheets covering what was made and where it travelled run out the span food law allows them before they go the same way.

Who else sees it

Within the creamery, the people making up and dispatching your order. Beyond it, the carrier bringing a box or a pallet to you needs the delivery address, our accountant works from the accounting records, and an environmental health officer or another authority sees whatever the law entitles them to see. Everyone outside these walls who handles a customer detail is handling it to do the job we asked of them.

The site itself

These few pages are files sitting on a server and sent to your browser as they are. The flavour filter on the front page runs inside the page you already have, sorting what is on screen and nothing further. Our side of the acquaintance begins at the moment you write to us.

If you want something done about your details

Whatever is in our files about you is yours to see, and one email to the creamery is enough to have a copy sent over. Should a line in it read wrongly, tell us what it ought to say and we will put it right. Should you want the lot gone, gone it is, provided nothing in law is making us hold that particular record. Where you would sooner your details went across to somebody else, a new supplier perhaps, we can hand them over in a shape another system reads straight off. And if you are content with most of what we do while one part of it sits badly with you, name the part and we will stop there while the two of us work it through. The one place we cannot give way is paperwork the law pins down, so where a request runs into a production or accounting record still inside its period, we will say which record it is and when it comes free.
